Accounts Deprovisioning

Technology Services will be making changes to our Account Life Cycle practices to protect the confidentiality, integrity, and availability of University computing resources.  University computing accounts are provisioned and deprovisioned in accordance with the campus standards and best practices of Fresno State.

Box Deprovisioning

Effective Jun 30, 2022, Fresno State will begin deprovisioning IT accounts for members of the campus community who have separated from the University.                  

  1. Faculty who are separating will retain access to Box until the last day of employment.  After that access will be disabled, but the content will remain intact for 13 months.  After that the accounts are eligible for deletion.
  2. Staff (state and non-state) who are separating will retain access to Box until the last day of employment.    After that access will be disabled, but the content will remain intact for 13 months.  After that the accounts are eligible for deletion.                
  3. Students who are separating will retain access to Box for 13 months following the end of the last regular semester they attended.  After that the accounts are eligible for deletion.
  4. Role Based Accounts (RBAs) will retain access to Box if the RBA manager approves.  RBA managers must reapprove RBAs access on a yearly basis but may withdraw approval at any time. Access will be disabled if not renewed or if approval is withdrawn but will remain intact for 13 months.  After that the accounts are eligible for deletion.
  5. Persons Of Interest (POIs) will retain access to Box if their sponsor approves.  POI sponsors must reapprove POI access on a yearly basis but may withdraw approval at any time. Access will be disabled if not renewed or if approval is withdrawn but will remain intact for 13 months.  After that the accounts are eligible for deletion.                                                                                                       

Note:  These practices provide account de-provisioning based upon typical status scenarios.  There may be deviations from the scenarios presented above, depending upon the individual circumstances involved.

Role Based Account (RBA) Notification

TS will be notifying the RBA managers annually in May of pending RBA account expiration.  Managers will need to submit a Service Request form to extend the RBA. Request a Role-Based account extension.

If the RBA manager does not respond by June 30 of the fiscal year, the account will be suspended.  

In accordance with our retention policy, accounts will be deleted in a timely manner, (the manager/owner of the RBA’s is responsible for determining the retention period).  

If the RBA has not been extended after 13 months of suspension, the account will be deleted.

Access to Separated Employee Accounts

When someone separates from the university it may be necessary for the manager or department to access the separated employee’s accounts to maintain business continuity.

Access to a separated employee’s accounts will require review and approval by the VP Administration and Finance.  It will require a service request to be submitted by calling the Service Desk.  Technology Services will only give access to data content to authorized personnel.

If the separated employee provides the designated person in the department or MPP with access to their content before they separate, then the request will not be necessary because the separated employee has voluntarily granted access to their account or accounts. 

For security reasons passwords should never be shared.
