Email and Google Workspace Changes

As part of Fresno State’s Email Account Lifecycle Standards, the University reviews accounts to ensure security, compliance with CSU policies, and responsible use of University resources. When an individual’s active affiliation ends (such as graduation, separation from employment, or retirement), their Fresno State email account moves through defined lifecycle phases. These phases may include changes to Google Workspace access, a transition to email-only access (Gmail), and eventual account retirement and archiving. Active students, faculty, staff, and emeriti are not affected while their affiliation with the University remains active. Please review the Account Retention Standards below to understand how long email access is retained and what actions may be needed.

The date your access ends depends on your current affiliation with the university. Please review our Email Account Retention Standards for detailed information on retention timelines, grace periods, and account deactivation dates based on your status.

You received this notice because your active affiliation with Fresno State has ended, and your Email account is approaching a scheduled change under the Email Account Lifecycle Standard. These changes are applied to support University security and responsible use of University resources.

Advance notice is provided so you have time to prepare for the upcoming changes.

Returning Students
If you have applied or enrolled back at Fresno State, please contact the Admissions Office to verify your status with the university. View the Admissions contact page here

Returning Employees
Reach out to your department contact or manager to request an email reactivation/account conversion.

Storing and securing data cannot be guaranteed beyond the transition dates. The campus will periodically clean data from expired accounts. Please use the migration tools mentioned in the KB articles to help retain data before the transition dates.

Product licensing, identity management, access controls, support and data security are costly. Google's licensing model changed in recent years, and their Education Workspace services are no longer free. Maintaining all the university's former affiliates is unsustainable, and we are having to limit our support to better serve our current campus community affiliates.

If you’ve been alerted that your account is closing and you want your contacts to know that you know you’re no longer using your account by creating an automatic reply and/or create a custom email signature. Note: automatic replies and mail forwarding will only work while the account is active.
